Description

 

Contracting plots should be setup as follows, 

 

In COINS on the plot record in Development Maintenance,

  • Sales class must be “Contract”
  • Plots must NOT be flagged as sellable
  • Warranty expire date should be set on the plot
  • No Reservations should be entered against Plots.
  • Plot Brand must be specified.

 


The “Contract” Sales class is used for large projects where we have partnered with a 3rd party to build the plots for them, as such there is no requirement for any sales management. 

Therefore, we do not need to add new Reservations to these plots in Keys or COINS.

These are used by Customer Care to raise jobs on plots that are still in Warranty. 

  

Process

 

COINS: 

The following data must be entered into the Development Maintenance module for each contracting plot in COINS. 

In COINS on the plot record in Development Maintenance,

  • Sales class must be “Contract”.
  • Plots must NOT be flagged as sellable.
  • Warranty expire date should be set on the plot.
  • No Reservations should be entered against Plots.
  • Plot Brand must be specified.

 

Once complete it will sync with Keys and activate the warranty date and link the plots to the development site. This data is normally updated by Commercial / Finance Teams (depending on your Region) so you may need to contact them to update this. Further guidance on this can be found on Vistry Vibe within the COINS user guides.

 

KEYS: 

To add the Housing Association to the plot, you will need to use the HARP Portal. 

You can find this within the Vistry Links folder, or on the link below:

Once there, use the option “Enter/Update warranty expiry date on contracting plots”.

Once submitted through the HARP Portal, this should add the Housing Association to each plot in Keys. It will not impact COINS. 

 

 

Notes


Warranty End date in Keys, will automatically be pulled from the “Our Warranty Expires” date in COINS.

Private Sales

Reservation is added and processed via Keys by the Sales Team. 

Social / BULKCA

Reservation is added via the HARP Portal by the Sales / Finance Team. 

Contracting Sales

No Reservation is needed. The plot should have the Sellable flag unticked and add in the “Our Warranty Expires” date in COINS under Development Maintenance section. This can be updated by Commercial / Finance (depending on your region). Please see user guide for How to add Warranty date to Contracting plots.
