Description
This article will show you how to create your own custom contact lists in Outlook.
Process – OLD Outlook Version
On the left-hand side of outlook, select the “People” tab.
Then select “New Contact Group” from the top bar.
This will open a window that looks like the below.
The “Name” box is where you enter the name you want the list to be called.
Then select “Add members” and click “From Address Book” on the drop down.
This will then open the address book, and you can add who you require in the list.
When you select people and click ok in the bottom right, they will appear in the list.
You can then select them and click “Remove Member” to remove them.
Select “Save & Close” to save the list.
It will then appear in your contacts list.
Select “Send email” from the right-hand window to open a new message box.
You can then select the plus symbol to expand the list and remove/add anyone as required for the email.
Bulk Adding People
You can also add in a list of email addresses rather than searching through the whole address book.
Prep your list in excel or word – this can be either Full Name or email address. Please note the email address method is more accurate
Copy and paste the list into the “Members” field then click ok
This will now create your group
For full names you do the same just with names rather than emails.
Copy and paste the list into the “Members” field then click ok
If there are any names that do not appear within the address book, this will flag up a “Check Names” box
In the example below, it is showing that it doesn’t recognise Andy Lyall – click on Show More Names and this will open the address book window with “Andy Lyall” populated in the search box.
Here you can change the variation of the name, in this example Andy is in the system as Andrew
Once you’ve found the correct entry, highlight and click OK and they will be added to your list.
If you have multiple names that aren’t recognised, then you will still see the “check Names” box there to run through the rest of them
Notes
Please note:
You can share your own groups with other people, but please be aware that if you make any changes to your group, you will need to reshare as this will not update automatically
